What Is The Arryved Web Solutions + POS Sync?

Say goodbye to your inventory headaches! Sync your Arryved Web Solutions Shop with your POS to accurately track inventory availability both online and in-house simultaneously. Whenever a sale is made in one place, it will deplete the inventory from both places. This way, both your E-commerce shop and POS always have accurate Inventory Counts. Use this guide to learn more about how the sync works.

Prerequisites

  • You are an Arryved POS merchant with an Arryved Web Solutions Shop. 

Limitations

  • The Inventory sync can’t support a high-demand release. We recommend having separate, unsynced inventory in your Online Shop for these releases. Don’t worry, we still have your back, ask the Web Solutions Support Team about our Cart Protection feature to prevent overselling!

  • Just the Inventory Quantity and State (at the item or size level) will sync up. Any other product information such as Price, Name, Attributes, etc. must be updated in both places or you can have different information in both if desired. 

  • Only one of your Arryved POS Locations can be synced with your Web Solutions Shop. 

How It Works

What Syncs?

Items/Products: Choose whichever Inventory Items from your Arryved Portal that you want to sync with your Online Shop Products. The Items/Products need to be entered into your Arryved Portal and Online Shop separately. Then, they will be mapped to each other. Items that are not mapped from your Arryved Portal, will not be included in the sync. 

Inventory Counts: This is the quantity of each Inventory Item by size. When a sale is made either online or through your POS, the Inventory will deplete in both places.

Item State: Active, Inactive, Out(Kicked), and Retired states are synced in both places. This includes the state of the Item itself and each size. 

Just so you know! 

  • Once your POS and Online Shop are synced, your POS becomes the ‘source of truth’ for Inventory Counts and Statuses. If you need to make a manual update, you’ll do so in your Arryved Portal. 

  • You can update the State of the Item as a whole or each Unit Size individually.

  • If the Item’s State is changed to anything other than ‘Active’ then the Statuses of the Individual Sizes are ignored. If the Item is set to ‘Active’ then the system will honor the State of each Size. 


When Does It Sync?

Web Solutions Shop → POS: A sale or return made in your Web Solutions Shop will sync with your Arryved Portal Inventory within 60 seconds

  • A return will restore the Inventory Count if the ‘Restock’ setting is enabled on the refund page when you process the refund through your Web Solutions Shop. 

POS → Web Solutions Shop: When a sale or return is made in your POS, it will sync with your Web Solutions Shop in about 60 seconds

  • Additionally, every 10 minutes, your Web Solutions Shop receives the current Inventory Counts and Statuses for all products that are synced from your POS. This grabs any manual updates that were made from your Arryved Portal.

  • From a synced Product page in your Web Solutions Shop, you can manually force the sync update at any time. This is helpful when you make a manual update in your Arryved Portal that you need to sync with your Web Solutions Shop immediately.

Inventory Buffer

To be extra sure you don’t oversell products due to sync delays or human error, we’ve added a buffer for your safety. Your Online Shop Inventory Counts will be 10 fewer than your POS Counts. 

In other words, if your Inventory Item in Arryved Portal has a quantity of 50, the Product in your Online Shop will have a Count of 40. 

Reach out to Web Solutions Support if you’d like to change your buffer. 10 is the default, but you know what’s best for your business! 

  • You can have a different buffer for each Product if you’d like, maybe some sell out quicker than others. You can also change the buffer per individual size, too!
