OpenTab Setup Guide For Menu Viewing (Various Menus)

What Is OpenTab Digital Menu Viewing?

OpenTab by Arryved empowers guests to self-order and/or view digital menus with QR code technology. OpenTab can omit the self-ordering feature and just be used for digital menu viewing, if that’s what’s best for your business. This article will provide you with instructions to use OpenTab for digital menu viewing only with different menu offerings for each of your unique Venues. QR codes will be specific to your Venues and when a guest is in a specific Venue, they will scan a QR code and be shown the menu offering for that Venue. 

Prerequisites

  • You have read the OpenTab Overview and decided that OpenTab for digital menu viewing with various menus is the best method for your business. 

  • Because guests will be using their own smartphones to view menus with OpenTab, It is strongly recommended to have a separate WiFi network for your guests to use. 

  • If you are interested in setting up OpenTab, contact Arryved Support to get started. 

Limitations

  • This method of OpenTab configuration only allows for guests to use QR codes to see your menu, it will not allow them to place orders. If you would like to use OpenTab’s self-ordering feature, head back to the OpenTab Overview and review the steps under the Self-ordering section. 

  • This method of OpenTab configuration allows you to offer different menus in your various Venues. If you only have one menu offering across your entire location, use the OpenTab Setup Guide For Menu Viewing (Single Menu) instead. 

How It Works

You will create a separate Venue for OpenTab in order to define which menu items you want to make available for self-ordering. The OpenTab Venue is not a physical Venue,  it is simply created for OpenTab configuration. You will then create menus in your OpenTab Venue and any Inventory Item that is in both the OpenTab Venue menu and on its original Venue menu will be visible through the QR code in that Venue. QR codes will be unique to each Venue.

Step 1: Create An OpenTab Venue and Menu

OpenTab Venue

  1. In Arryved Portal, navigate to the Venue section.

  2. Click on the + at the bottom of the drop down to create a new Venue.

  3. Name the Venue "OpenTab" in the Venue Description and Short Form. 

    • You can name the venue anything you want, as long as you can recognize it as your OpenTab Venue.

  4. Click Create to finalize.


OpenTab Menu

You will create menus based on the categories of your menu items. (For example, Appetizers, Entrees, Draft Beer, N/A Bevs, etc.). This is different from how you created your regular menus. (Dinner Menu, Happy Hour, etc.). This is so guests will have a better ordering experience if the menu items are categorized for them.

  1. From the Venue page, change the Venue Type in the top left corner to Online

  2. Click on the plus sign in the Menu section to create a menu. 

  3. Add all possible Inventory Items to these menus that a guest could order across the whole location (all Venues). 

    • For example, if you want to offer some Inventory Items in Venue A and different items in Venue B, you’ll add all items from A & B to the menus in this OpenTab Venue. 

  4. If you are unfamiliar with creating menus, reference How To Create Menus

    • Keep in mind, you are creating a menu for each category you would like items to live under so the guest has an easier time navigating the menu.

  5. To create another menu, click on the Venue name from the left side to get back to the main landing page. 

You can use the Sort Menu Items feature to sort the categorized menus into a user-friendly order that the guest will see. You can also sort the items within each menu however you’d like. Sorting the menus will appear properly in OpenTab, but will not rearrange on the Venue screen in Arryved Portal, but trust us, it’s working! 


Step 2: Configure Venues And Tables

Next, you will enable OpenTab in your existing Venues of choice. This is so you can offer unique menus in your different Venues. Think about which of your Venues have what menu offerings. 

There are 2 things we need to do in this step: 

  1. Enter a Public Venue Name.

  2. Enter a Public Table Name.

Public Venue Name

OpenTab is made available in your location’s Venues by adding a Public Venue Name under the Venue Configuration. You will add a Public Table Name for each of your on-premise Venues. Keep in mind, the name will be visible by guests though the QR code (hence "public name"). 

  1. In Arryved Portal, navigate to the Venue section.

  2. Select the first on-premise Venue. 

  3. Click Edit Configuration on the upper right side.

  4. Enter a Public Venue Name.

  5. Click Save.

  6. Repeat for all Venues you would like to offer a digital menu. 


Public Table Name

In the Venue Configuration page that you just added a Public Venue Name to, you will add a table and give that table a Public Table Name. A QR code is generated every time there is a match between a Public Venue Name and a Public Table Name in that same Venue. You will create 1 table with a Public Table Name in each of your Venues offering a digital menu. Keep in mind, the name will be visible by guests through the QR code (hence "public name"). 

  1. Scroll down to the bottom of this and click +Add Table.

  2. Fill out the fields and be sure to give it a Public Table Name.

    • Table Type is irrelevant and can be left at the default. 

  3. Click Save

  4. Repeat in each Venue that you gave a Public Venue Name. 



Step 3: Customize OpenTab Settings

In this step, you have the opportunity to customize the OpenTab feature to best meet your needs. Head to your OpenTab Settings in Arryved Portal and click on the link to the next guide that will explain each of the settings in detail.  

  1. In Arryved Portal, navigate to Location Settings.

  2. Click OpenTab Settings.

  3. From the OpenTab Menus & Ordering dropdown options, select Enable Menus Only. This is very important so that the QR codes do not allow guests to place orders. 

  4. Select your OpenTab Venue from the Customer/Guest Venue dropdown list. 

  5. Read OpenTab Settings In Arryved Portal to customize the rest of the optional settings to best fit your needs. 

  6. Click Save when finished adjusting the settings.


Step 4: Print QR Codes

On the OpenTab Settings page in Arryved Portal, towards the bottom, you will see the chart titled Tables with Valid QR codes. 

  • This chart lists all the tables that have Public Table Names and their respective Venues also have Public Venue Names.

  • The Tables with QR Code Errors chart will show any tables that have a Public Table Name, but the Venue they live in doesn’t have a Public Venue Name and therefore a QR code was not generated for that table. 

  • The tables on the valid chart have automatically generated QR codes. Print those QR codes and place them in the Venues they belong in. 

    • Remember that each QR code from the chart is unique to a Venue with that Venue’s menu offering.

Gut Check!

Let’s review the steps to this guide to double check everything was completed.

  1. Have you created an OpenTab Venue and set the Venue Type to Online?

  2. Did you create menus on the OpenTab Venue that have all of the Inventory Items you will be offering across the entire location?

  3. Have you added a Public Venue Name to each of your other Venues?

  4. Have you created an OpenTab table under each Venue with a Public Table Name?

  5. Have you double checked that the menu items you want to offer at each Venue are on the menus in those Venues?

  6. Have you configured the OpenTab Settings in Arryved Portal to your liking?

  7. Have you printed the QR codes?

You are all set up with OpenTab’s digital menus! Scan a QR code in each of your Venues to see if the menu appears to your liking.
